‘We are at the Vakantiebeurs because it is a great way to get our name across. We also meet loyal ‘customers’ at our stand, people who have booked with us several times before.’

Activities

8. Activities

The Vakantiebeurs is a real exploratory expedition. So Vakantiebeurs 2011 will be a successful event as well, with all kind of activities, pavilions and theme routes. Ambiance and perception is very important to us, read below how you can contribute and take advantage of the activities.

8.1 Main theme; Unforgettable destinations

The theme of the 2011 edition is ‘Unforgettable destinations’. This is the theme that inspires visitors and

brings them holiday ideas! Whether they are close to or far from home: unforgettable destinations tell their

own story. Also at the fair! Of course you can connect your offer to the theme.

8.2 Theatres

Worldly theatre

The Worldly theatre in hall 3 is where the activities stage is central. Would you like to present your offer with a lot of experience? Organize a dance musical appearance or a presentation. This way you will get extra attention before and during the fair. All audiovisual and technical support will be available. Please sign in with this form.

Conference halls

If you would you like to organise a closed meeting for a large group you may wish to use one of our conference and meeting rooms. These rooms are located above the trade show floor and, therefore, offer more privacy. They are perfect for presentations, workshops or other sessions. For more information about prices and availability you can contact Manon van Wersch on +31 30 295 5881.

8.3 Inform us about your own activities

On the website, in the program booklet and on the fair itself we publish the program and activities that Vakantiebeurs has to offer. Please inform us about your activities, so that you will get free publicity. All special details about your activities, special discounts, get togethers or presentations are interesting for the (trade) visitors. Little effort, large success! For more information check this form.

8.4 Activities on your own stand/music and volume

Making music is an excellent way to attract the attention of the visitors to your stand. We see a large range of possible applications: product presentations, live acts, performances, etc. This theme is various. Unfortunately, in actual practice it turns out to be impossible to manage the volume (no more than 80 decibel) in such a way that it reaches the visitors in the aisles, but not your fellow stand holders. Thus, in order to ensure that every noise created has the desired effect, without simultaneously disturbing other stand holders, we have decided on a number of regulations. If you intend to use amplified volume or live music at your stand, you are obligated to request permission to do so, using this form.

Note 1: Permission will be granted on the condition that, if during the exhibition it turns out that we have underestimated the nuisance caused, permission will be withdrawn.

We will control the noise nuisance by using a card-system. At the first number of complaints about noise nuisance someone of the project team will come by to talk it over. At the second complaint you will receive a "yellow card". When this yellow card is not working well, and there is a third series of complaints, you unfortunately will receive a "red card". Your sound system will be seizured by Jaarbeurs Utrecht Security. We will make sure you get back your sound system after the Vakantiebeurs. We are very sorry to introduce such a procedure, but we have experienced over the past years that only talking about it, is not always working out.

Note 2: We recommend that you inform your fellow exhibitors of your activities at the beginning of the exhibition; not only is it polite, it can also prevent possible disagreements with your neighbours.

Buma Stemra

You have to pay a fee per day for playing Dutch- or world music at Vakantiebeurs 2009. If you inform us before 2 December 2009 about your musical activities with the form on page 35, Vakantiebeurs will pay the Buma Stemra costs. The controllers from the company Buma Stemra  come to check at Vakantiebeurs if the exhibitors have asked permission to use or play the music! For more information see www.bumastemra.nl.
